About the Role
Motivated and detail-oriented Administration Assistant to support the daily operations of the company. This is an entry-level position suitable for someone beginning their administrative career, offering hands-on experience and the opportunity to learn and grow within the role.
Key Responsibilities
Administrative Support
Managing greeting visitors, clients and management team
Manage calls, emails in the shared In-box
Support with document preparation
Maintain digital and physical filing systems
Assist in scheduling meetings and preparing meeting rooms
Support colleagues with small day-to-day administrative tasks
Maintain accurate SharePoint sites and Engage Communities
Ensure the correct branded templates, pantones and images are utilized at all times
Manage Distribution Lists, Shared Mailbox and Resources within Active Directory (AD)
Office & Facilities Support
Monitor office supplies and restock
Manage business & speaker cards
Ensured shared spaces tidy and organized
Manage receiving and sending mail, packages, and courier deliveries
Support event or meeting setups when required
Arrange for hospitality for meetings and overtime
Deal with emergencies in a timely and effective manner
Responsible for the safety, health and environment and quality of own work and collectively responsible for the safety, health, environment and quality of other colleagues
Team Support
Provide general support to team members in daily tasks
Plan and book travel arrangements
Plan and book regular meetings i.e. AE Town Hall
Assist with onboarding preparations (welcome packs, desk setup)
Help coordinate small internal activities, office events and dinner bookings
Manage ELT Expense Reports
Work with Office Manager in maintaining accurate calendar and initiatives
Work with Office Manager in maintaining the Sports and Social Club
Required Skills & Qualifications
Strong communication skills and a positive, service-minded attitude
Good organisational skills and willingness to learn
Basic experience with Microsoft 365 (Outlook, Teams, Word)
Ability to follow instructions and work well with a team
Reliable, punctual, and committed to high-quality work
Excellent written and verbal communications of the English language
Able to work independently with little supervision
Must be well organized
Must be able to interact with staff at all levels, sometimes under pressure, while remaining proactive, resourceful and efficient
Maintain a high level of professionalism and confidentiality
Can understand problems or situations, organizing them in a systematic way and identifying priorities and solutions
Work effectively with flexibility within a variety of situations as part of a team or independently
