Business Support & Workplace Experience Lead
The Opportunity
Fossefall is growing quickly, with more talented people joining us across different functions and locations. We are looking for someone who can help busy people get more out of their time, while making sure our workplaces work brilliantly.
Your main responsibility will be Executive Business Support. You will work closely with selected senior leaders and teams, helping with both big and small things: organising activities, keeping things moving and taking assignments from request through completion.
You will also take the lead in developing Workplace Experience at our new headquarters at Aker Brygge in Oslo, where you will be based. Together with People & Culture and colleagues across locations, you will help shape how we create great workplaces as Fossefall grows. We currently have offices in Oslo, Stavanger and Barcelona, with more to come.
It is two roles in one: helping selected leaders get more out of their time, and creating great places to work. We will develop the role together from there.
What you'll do
This is not a role for someone who waits for a detailed task list. You will be trusted to understand what needs to be achieved, organise the moving parts, take initiative and see things through to completion.
Executive Business Support & Coordination
This is the main focus of the role. You will help selected senior leaders spend less time coordinating and more time leading the business.
Coordinate calendars, meetings, travel, itineraries and practical logistics.
Support leadership meetings, workshops, partner visits and important business activities.
Keep actions, dependencies and follow-ups moving across stakeholders, teams, countries and time zones.
Research options, solve practical problems and prepare recommendations when the answer is not obvious.
Take assignments and smaller projects from request through completion, knowing when to act independently and when to escalate.
Workplace Experience & Office Operations
Alongside Executive Business Support, you will take the lead in developing Workplace Experience at our Oslo headquarters, while helping shape how we work across Fossefall's locations.
This is about more than keeping the office running. It is about creating a welcoming, professional and well-functioning workplace where people can do their best work.
Take responsibility for day-to-day office operations, including facilities, meeting rooms, equipment, supplies, catering and suppliers.
Create a great experience for employees, new colleagues, candidates, partners and visitors, including practical onboarding in collaboration with People & Culture and IT.
Plan and coordinate gatherings, social activities and events that bring people together.
Identify friction, solve everyday problems and continuously improve how our workplaces function.
Coordinate workplace budgets, suppliers and agreements within agreed responsibilities.
Work with the Head of People & Culture and colleagues across locations to develop consistent, scalable workplace practices.
About you
You enjoy helping busy people succeed. You bring energy, initiative and a problem-solving mindset. You are organised without making things complicated, take ownership and move things forward even when every step has not been defined.
You know when to go for it – and when to escalate.
We believe you will bring:
At least 2 years of experience in executive or senior leadership business support, with demonstrated ownership of coordination, problem-solving and improving ways of working.
Strong organisational skills, sound judgement and the ability to prioritise and follow through.
Confidence working with senior stakeholders across different functions, countries and time zones.
Practical experience using Microsoft 365, Copilot and other modern AI tools to work more effectively, simplify coordination and improve processes.
Fluent Norwegian and excellent English communication skills, both written and spoken.
This is primarily an office-based role at our Oslo headquarters.
