CEO Operations Associate
Work directly with Fossefall’s CEO and make a real impact across a fast-growing company.
The opportunity
Fossefall is growing fast, and so is the CEO's agenda across investors, Board matters, customers, partners and international travel. As CEO Operations Associate, you will work directly with the CEO and gain a close view of how leadership decisions are made and how different parts of the company work together.
This is a varied role. One day you may prepare materials for an important meeting, and the next help resolve a practical issue or turn a new idea into a clear plan. By keeping meetings, documents, travel and follow-up running smoothly, you will increase the CEO's execution capacity and create more time for capital raising, customers, strategic priorities and leadership.
This is a hands-on role for someone who enjoys turning ideas and instructions into action. Although this is not a strategy or traditional Chief of Staff position, you will contribute to important initiatives by helping shape ideas into practical plans, processes and deliverables. Priorities can sometimes change quickly, so the role suits someone who enjoys variety, learns fast and responds calmly when plans evolve.
Normal working hours are the default. The role requires above-average flexibility, as travel, events and time-sensitive work may occasionally require availability outside normal working hours, including afternoons and evenings. Where possible, this will be planned in advance.
What you'll do
Documents and meeting preparation
Work closely with the CEO to prepare first drafts of presentations, reports, documents and correspondence, and refine them promptly after meetings, calls, written feedback or voice notes.
Prepare agendas, briefing materials and background notes so the CEO can approach important meetings with the right context, documents and practical details.
Take part in selected meetings, capture key instructions and decisions, and help turn the discussion into clear next steps and useful follow-up materials.
Calendar and travel planning
Coordinate the CEO's calendar around agreed priorities, suggesting practical meeting times, resolving conflicts and making sure rooms, links, participants and materials are in place.
Plan and book travel, including flights, hotels, ground transport and itineraries, and join the CEO on selected trips to destinations such as Oslo, New York and London.
Collaboration and follow-up
Keep track of instructions shared in conversation, through voice notes, in Teams or by email, and provide clear updates as assignments move forward and are completed.
Work with colleagues across Finance, People & Culture, Legal, Communications and other functions, building a broad understanding of the business while gathering the input needed for CEO deliverables.
Tools and better ways of working
Use Copilot agents and other AI tools to support drafting, organise information, compare versions and develop helpful templates and checklists.
Identify processes that could work better and help create simpler, more effective ways of working.
About you
You are sharp, curious and quick to learn, and you genuinely enjoy making things work. You may be a recent graduate or have a few years of professional experience. What matters most is learning speed, structure, judgement, attention to detail and the ability to turn instructions into useful output.
We believe you will bring:
Exceptional learning speed and the ability to turn short or incomplete instructions into clear actions and useful output.
Strong organisational skills, personal task discipline and high attention to detail.
Sound judgement about when to proceed, when to ask a focused question and when to flag a risk.
Strong written and spoken communication, with professional fluency in Norwegian and English.
The ability to stay calm under pressure and take direct feedback.
Complete discretion when handling confidential information.
Comfort using Copilot and other AI tools.
Bonus skills or experiences:
Experience from a startup, scale-up, project-driven or international organisation.
A demanding internship, graduate position or early-career role with substantial responsibility.
What success looks like
Within the first few months, the CEO trusts that when something is handed to you, it gets done. Meetings are prepared, materials are accurate and ready for review, travel runs smoothly and important follow-up stays on track. As you work across the company, you build a broad understanding of the business and develop strong working relationships with different teams. As trust grows, you take on more responsibility, from gathering input and improving processes to finalising selected deliverables.
Why Fossefall?
Fossefall is building for long-term growth, which means many important ways of working are still being shaped. Joining now means having the opportunity to influence how the organisation grows, how teams collaborate and how high-quality work gets done. You will work close to capable colleagues, contribute to meaningful priorities and help build something that can last.
